The overall project consists of remodeling the majority of the first floor of City Hall.  This includes part of Judicial, all of the Police Department, including the lobby, Human Resources, Clerks, Customer Service, City Hall Main Lobby, and the Council Chambers.

The bids came in higher than anticipated, therefore, staff is looking at ways to reduce the overall project cost to stay within the approved budget figures. Staff is recommending the base bid and Alternate #1, however, not Alternate #2.  Alternate #1 is removing the existing vault in Customer Service, and converting that space to three new offices.  Alternate #2 is replacing standard lighting with high efficiency LED lighting.

Staff will work with Hladky Construction and Dale Buckingham Architects, LLC, to reduce the contract amount, with our goal being approximately $100,000 to $150,000.  City staff, Hladky Construction, and Dale Buckingham Architects, LLC, have already started this process, but we do not have hard numbers at this point. 

Total amount budgeted in FY15 for this project is $2,612,319.00, however, other items are scheduled to be posted to that line item.  In order to proceed with the project, staff is significantly reducing additional items within the project.  Staff has reduced the request for furniture, technology, security and cabling, and, again, is in the process of reducing some of the construction costs.  With these changes, the goal is to complete the project within the allotted amount.

Base Bid: $2,228,066.00; Alt. #1 $129,564.00; Alt. #2 $26,796.00.

I move to approve the Bid Award for the City of Gillette, City Hall Remodel - Phase III Project, to Hladky Construction, of Gillette, Wyoming, in the Amount of $2,277,127.00. (Base Bid $2,136,427.00, plus Alternate #1 $140,700.00).
