Council Consideration for the Acceptance of Public Improvements for the City Hall Landscape and Irrigation Improvements Project, installed by G & G Landscape, Inc., in the Amount of $531,798.66 (1% Project).
BACKGROUND:

The City Hall Landscape and Irrigation Improvements project provided for a complete overhaul of the existing landscape treatments at Gillette City Hall as well as a complete replacement of the existing irrigation system.  This project was initially designed over the 2019/2020 winter, but was put on hold during the Covid-19 pandemic.  Planting beds were cleared and grubbed out.  Overgrown trees, shrubs and perennials were thinned or removed and replaced with new plant material.  The existing wood mulch was removed and replaced with rock mulch from a local supplier.

WHY NEEDED: The landscape and planting beds at City Hall had become overgrown and difficult to maintain.  Additionally, the existing irrigation system suffered frequent line failures and could not provide consistent irrigation water to the plant material per industry standards.  This project has replaced the entire irrigation system and utilizes the Calsense Central Control system currently being installed throughout the City of Gillette Irrigation Portfolio.

ACTUAL COST VS. BUDGET:

G & G Landscape, Inc. was awarded a bid of $488,884.00 and completed the work for a cost of $531,798.66. There was a total of four (4) change orders on the project.

Change Order #1 - $3,300 – Provided for maintenance mowing during the project  as well as installation of hardline Cat-5 Ethernet connectivity from the City Hall Telecommunications room to the new Calsense Irrigation controller, replacing the original cell modem communication method.

Change Order #2 – $6,996.00 – Provided for the installation of approximately 1,800 square feet of concrete apron installed along the north and west sides of the City Hall Building at the request of the Facilities Maintenance Division.  The cost of this concrete work was offset by reducing the number of plants and related irrigation originally specified in the design.

Change Order #3 - $20,698,50 – Provided for the removal and replacement of approximately 450 square feet of concrete paving at the west parking lot entrance of City Hall.  Also replaced weather damaged ADA sidewalk ramps and sidewalk panels.

Chane Order #4 – $11,911.16 – Provided final quantity reconciliation per pricing provided in Change Orders #2 and #3.  Provided for clearing, grubbing and mulch installation in the City Hall Parking Lot center median as well as additional mulch rings on existing trees on the northwest corner of the property. This project was fully funded from the 1% Optional Sales Tax Fund.
